Estimating software for painting contractors
What painting contractors need from estimating software — measurement, line items, paint coverage math, and a fast path from walkthrough to signed quote.
Most "painting estimator" software falls into two buckets: too simple (a calculator that spits out a number) or too complex (an enterprise tool built for commercial GCs). What a residential or light-commercial painter actually needs is the middle.
What a painting estimate has to do
- Capture the walkthrough fast. Rooms, square footage, surfaces, prep needed. On a phone, in the house, in under 10 minutes.
- Do the coverage math. Sq ft × coats ÷ coverage per gallon = paint needed. Add 10% waste. Multiply by your cost.
- Stack labor on top. Crew hours × rate, with separate buckets for prep and finish.
- Output a clean one-page quote. Scope, paint specified by brand/finish, timeline, total. Sign and pay deposit online.
What to skip
You don't need 3D paint visualizers, AI color matching, or a "marketing module." Those are demo-day features that don't get used after week two.
How CrewOpsPro does it
Saved line items for common scopes (interior 2-coat, cabinets, exterior trim) so a typical estimate is three taps and a total. Convert the signed estimate to a job, then to an invoice, without re-keying anything. Deposit collected by card on the same screen the customer signs. More on the painting contractor software page.
All in the $39/month flat plan — same price for the solo painter and the 8-person crew. QuickBooks user? See the QuickBooks integration.
The estimate-to-cash test
Time yourself end-to-end: walkthrough → quote sent → deposit in your account. If that loop takes more than a day on your current tool, you're losing jobs to the painter whose loop takes an hour.
